Document Assembly

As simple as drag-n-drop. Create Document templates with ease in HoudiniESQ or from within MS Word.

You can perform data merges and generate a draft or final document in PDF or Word format with just a click of your mouse.

Document templates can be generated from either Word or HoudiniESQ. These templates keep their formatting, color and font selections intact. Once a template has been created and saved in HoudiniESQ the final document can be generated from within either Word or HoudiniESQ effortlessly.

When you have generated the necessary documents simply click the email icon on screen to e-mail them to a client, co-counsel, etc.

Full Text Indexing
When generating documents with HoudiniESQ, documents are automatically full text indexed and linked to the matter. This is also true of e-mail and e-mail attachments.

Exclusive Esq Live Doc™ Feature
HoudiniESQ document templates created with our MS Word plugin has the added benefit of becoming Esq Live Docs™. Instead of generating the document HoudiniESQ generates a form instead listing all the fields pre filled with merged data. The form permits you to view or edit what will appear on the document before it is generated. Blind data merges are a thing of the past.

Contact Management

Manage everything having to do with your clients from a single form. You can view associated Matters, Notes, Task, Documents, Custom Forms and Trust Ledgers.

Potential client and lead tracking information such as how the client contacted the firm, and how they heard about the firm is easily collected. If you need to schedule follow-up calls with potential clients you can enter that information as well. This information isn't just static data either. HoudiniESQ includes two powerful report dashboards just for tracking lead-to-retained figures so you can monitor ad placement and lead conversions.

E-mail Management

HoudiniESQ includes a integrated e-mail client that can be used in lieu of or in addition to traditional e-mail clients like Outlook. Handy when you don't have your laptop with you or your e-mail account information. Simply log on and view and answer your e-mail. The e-mail client displays your e-mail as it was intended by the sender. No stripped down text displayed in a note field. Images, attachments and links are preserved.

When linking an e-mail to a Matter HoudiniESQ performs a full text index not only of the e-mail body but any attachments as well. E-mails and attachments appear immediately under the Matter's e-mail tab. In addition e-mail attachments appear under the Matter's doc tab. No hunting for e-mails or attachments. E-mail attachments are treated like any other document relating to a case. You can categorize and manage them just as you do documents in HoudiniESQ.

Seamlessly Integrates with MS Outlook
E-mail is easily managed from within Outlook using our free Outlook for HoudiniESQ add-in. Our Outlook plugin automatically bi directionally syncs e-mail, contacts, and your calendar with HoudiniESQ. You can even optionally bill for your time from within MS Outlook.

To-dos, Reminders and Task oh my
To-dos are assignable and can be given deadlines. When you assign a To-do to a staff member, not only does the To-do appear on your To-do list, it also appears on the assigned staff members list as well until one of you mark the item as complete. To-dos are usually created just as reminders but in HoudiniESQ records can be promoted. When you mark an item as complete you can optionally promote the record to a billable event.

Review time is Billable time
An added benefit of the GTD is when you review items you can optionally bill for that time and then pass the item onto another staff member for their review.

The GTD seamlessly integrates with e-mail and documents so correspondence can be flagged "please review" and placed onto one or more staff members own GTD.

Calendar & Docket

Powerful group calendaring and scheduling. No limit to the number of calendars you can create. View your calendars any way you like - list, weekly, monthly, daily, schedule, and custom views.

All staff can view the entire firm's calendars. Filter calendars by a particular calendar, staff, staff group, event type, staff color, event color, etc. You can even filter the calendars by matter or contact.

Rescheduling events is easy, just drag-n-drop to reschedule. Use the incorporated Time Line below the calendar to quickly find items on busy schedules.

Repeating events as well as calendar alerts are supported. A customizable date calculator where staff can add custom holidays at the individual or organizational level is just a click away. In addition, the HoudiniESQ calendar sports a available time slot finder which can be used to quickly find a staff members's availability.

The HoudiniESQ calendar also has a Google calendar import utility to help you get started quickly.

Without Rules there would be Anarchy
Add calendar events using the integrated Court Rules (HoudiniESQ 1.9). IF a rule changes HoudiniESQ will notify staff of the change. Staff can then review the change, its impact and optionally have HoudiniESQ recalculate the events and their dependencies. Coming soon

Billing & Invoicing

HoudiniESQ supports one click invoicing, instant PDF delivery, Adjustments, Credits, Trust Deposits, Trust Earned, Trust Awards, Trust Withdrawals, Retainers, Harmonized Sales Tax, and Expenses. You can print or e-mail invoices to your clients effortlessly. Batch time entry as well as batch billing is supported.

No time slips or extra steps since everything you do on behalf of your client is viewed as a Event and all Events are billable and tracked including composing and reading e-mail. Of course you get to decide what is billable and what is not.

The Pre-bill dashboard allows you to view everything that hasn't been billed and view balances and payments with just a glance. You can re-assign billable events to other staff, change charges and apply credits all from a single screen.

Integrates with QuickBooks
If you have QuickBooks and our free HoudiniESQ QuickBooks connector then every billing and Trust task you perform in HoudiniESQ is seamlessly posted to QuickBooks.

Custom Fields

You can add any number of custom fields to a entry form. They can be placed by Type, Sub-type, Status Code or Attributes, and any combination thereof.

You can add custom fields and controls to the Matter, Event and Contact forms. Entry Fields, Lookup Fields, Drop Downs, Multi-selects, Combo Boxes, Radio Buttons, and Check Boxes are all supported.

Need to make a custom field required? Simply click the Required check box when you create the field. Your staff will be prompted if they forget to enter data. Custom columns can even be grouped so you can define customizable Workflow Triggers (1.9) to one or more fields.

HoudiniESQ even includes a comprehensive set of entry field Validators so you can keep data entry mistakes to a minimum.

Custom Forms

Clutter free data entry in Houdini Esq.

No single data entry form can be expected to hold every bit of data. Use custom forms to collect additional information. There is no limit to the number of forms you can create and each form can have a unlimited number of custom fields.

Custom List views

Just about every list or table can be customized to your liking. A list view can include or exclude any number of columns. You can create groups and tally rows and apply filters to each of your custom list views. There is no limit to the number of custom list views you can create for any single list or table. You can create views that are sharable by the entire organization or create personal views. When you click the print icon a PDF is generated using the selected list view.
